CONDITIONS OF HIRE  (OCCASIONAL HIRE)

 

The Hall Management Committee (‘The committee”) make available for hire the hall and facilities under the following rules and standard Terms and Conditions, which form the agreement:

 

1            GENERAL

The Hirer shall not transfer or sub let the booking to a third party.

Under the Milton Keynes Council Entertainments Licence, functions must end no later than:
        SUNDAY-THURSDAY
:    8.30am – 11.30pm
        FRIDAY-SATURDAY:     9.00am -
11.30pm

Music and entertainment must end 15 minutes before these times.

Under Fire Regulations, the hall has a maximum capacity of 100 persons seated and 70 persons with tables and chairs. The Hirer shall ensure that there is a responsible person in charge throughout the period of hire.

The Hirer must, at the time of hire, discuss and seek approval from the bookings clerk, when advertising or publicity material is to be displayed or decorations used,

  

2            DEPOSITS AND PAYMENTS

All provisional bookings must be confirmed within ten days, with payment of deposit. The hire charges applicable are listed on the booking form. The full hire charge is due no less than 30 days before the letting. The full deposit is returnable less any breakages or damage and losses, which will be deducted at cost from the deposit.

  

3            SHORT NOTICE HIRE

(Applications made within 30 days of letting)

When an application for hire is made within 30 days of the date of the proposed letting, the full hire charge must be paid together with the deposit.

 

 4            CANCELLATIONS

In the event of cancellation by the hirer, the following will apply:

(a) For more than 30 days notice, the hire charge and deposit will be refunded provided the booking can be re-let. If the booking cannot be re-let the full hire charge will be re-funded but the deposit will be retained.

(b) For less than 30 days notice, the hire charge and deposit will be refunded provided the booking can be re-let. If the booking cannot be re-let the full hire charge will be re-funded but the deposit will be retained.

  

5            CLEANING

The hall will be cleaned prior to a letting. There is a cleaning charge included in the hire charge.

  

6            INTOXICATING LIQUOR

No intoxicating liquor shall be supplied. All liquor to be supplied by the Hirer. It is the Hirer's responsibility to ensure that local licensing laws are complied with.

 

 7            PURPOSE

The Hirer shall not use, or permit the use of, the Hall for any unlawful purpose; nor do anything (or bring into the Hall anything) which may endanger the Hall, the users, or invalidate any insurance policies relating thereto. The hirer shall, if selling goods on the premises, comply with the fair trading laws and any local code of practice issued in connection with such sales. In particular, the Hirer shall ensure that the total prices of all goods and services are prominently displayed as shall the Hirers name and address.

 The Hall shall not be used as the Hirer’s postal address.

 No betting, gaming, or lotteries shall take place on the Hall premises except that allowed by law and the Hirer shall obtain any licence or certificate required prior to booking the Hall for any such use.

  

 8            NUISANCES

The Hirer is responsible for ensuring that inconvenience and nuisance is not caused to other users of the Hall or local Residents.

 

 9            STORAGE

Belongings of the Hirer cannot be left on the Hall premises outside the period of hire, except with the prior permission of the committee, and at the owner’s risk.

 

10            BREAKAGES I DAMAGE I LOSS

The Hirer shall be responsible for:

(a)            Adequate supervision of the Hall premises

(b)           Fabric and contents

(c)            Prevention of damage, however slight

(d)          The cost of all breakages, damage and losses.

 

 

11             LOST PROPERTY

The committee accepts no responsibility for the personal property left on the Hall premises. Any lost property remaining after one month will be treated as abandoned and disposed of by the committee.

 

12            ANIMALS

Except in the case of trained hearing or guide dogs, animals shall only be permitted in the Hall premises in connection with organised activities such as training or shows, and then only at the discretion of the committee.

 

13            SAFETY

A system of safe lighting is installed in the Hall and must not be interfered with.

Fire exits signs must not be obstructed in any way. In particular, tables and chairs must be arranged such that free access is possible at all times along corridors, and to all internal doors and fire exits.

The fire fighting equipment must not be removed from the designated fire points and shall only be used for the purposes for which it is installed.

Users must not interfere with the boiler and heating system installed in the Hall.

 

14             HIRE LIABILITY

The Hirer agrees to indemnify the committee against any loss, damage claim or expense, howsoever arising, caused or occasioned during the Hirer’s use of the Hall premises.

  

15            RESERVATIONS

The committee reserves the right to refuse any application for hire.

The committee reserves the right to cancel without liability and without notice any booking the purpose or nature of which has been misrepresented to the committee.

The committee accepts no responsibility for personal injury or loss, or damage to personal property.

The committee shall not be liable for any loss incurred by the Hirer through the non-availability of the Hall resulting from circumstances beyond its control or any breach of these conditions.

The committee reserves the right to change or amend the Conditions of Hire at any time without prior notice.

 

 16            MUSIC

No live bands to play in the Hall without the permission of the committee.
